This policy explains how we handle personal information when you visit this website, contact us or discuss a project with us. It also explains the information used to administer our customer relationships and your choices under UK data protection law.
Who we are and how to contact us
This website is owned and operated by Power IT Group Limited. We are the data controller for the personal information described in this policy. This means we decide why and how that information is used.
For privacy questions, requests about your information or complaints, email enquiries@poweriton.co.uk. Please mention “Privacy request” in the subject line so we can identify your message.
Where we process personal information on a customer’s instructions as part of a software, cloud or hosting project, that customer’s privacy notice and our agreement with them govern that processing. This website policy does not replace those arrangements.
Information we collect
Information you give us
When you contact us, we receive the information you choose to share. This can include:
- Your name, email address and any telephone number you provide.
- Your company, role and business contact details.
- The contents of your enquiry, attachments and subsequent correspondence.
- Project requirements, meeting notes and information needed to prepare a proposal or provide support.
- Contact, contract and billing information needed to administer a customer relationship.
An enquiry form may also identify the page you contacted us from and the website language, so we can understand the context of your message.
You do not have to make an enquiry or provide optional information. We need enough information to understand your request and a way to reply; without it, we may be unable to help. If a contract or legal requirement calls for particular information, we will explain this when it is requested.
Please avoid sending passwords, payment card details or sensitive personal information through general enquiry forms or email. If a project requires sensitive information, contact us first to agree an appropriate way to share it.
Information from other people
A colleague or another representative of your organisation may give us your business contact details or include you in project correspondence. We use this information to communicate with you about that enquiry or project.
Technical information
When your browser requests a page, our hosting and infrastructure providers receive connection information such as your IP address, the requested address, the time of the request and browser information. Logs may also include errors or security events. This information helps deliver the website, diagnose problems and protect it from misuse.
Third-party website resources can receive similar connection information, as explained below.
Playground tools
The formatting, encoding, decoding, hashing and UUID tools run in your browser. The tools do not send the text you enter or the results they generate to us, and they do not save that input in browser storage. Copying a result places it on your device’s clipboard at your request.
Normal website connection information is still handled when you load a tool page. Browser extensions and anything you do with a copied result are outside the tools’ operation.
Why we use information and our lawful bases
We use personal information only for a defined purpose and with a lawful basis under the UK General Data Protection Regulation (UK GDPR).
- Responding to enquiries and preparing proposals: Our legitimate interests in answering business requests and discussing potential work. Where you are personally entering a contract with us, we may instead need the information to take steps at your request before that contract.
- Managing projects and customer relationships: Performance of a contract where you are personally a party to it. For employees and representatives of a business customer, our legitimate interests in communicating with that business and delivering the agreed services.
- Operating and protecting the website: Our legitimate interests in providing a functioning website, diagnosing faults and preventing abuse.
- Keeping accounting records and meeting legal requirements: Compliance with applicable legal obligations. We may also retain relevant records for our legitimate interests in establishing, exercising or defending legal claims.
- Responding to privacy requests: Compliance with our data protection obligations.
- Optional email updates, if you request them: Consent, which you can withdraw by emailing us or using an unsubscribe option in the message. Making a service enquiry does not itself subscribe you to marketing.
Where we rely on legitimate interests, we consider the purpose, whether the use is necessary and its effect on your rights and reasonable expectations.
We do not use this website to make decisions about you based solely on automated processing that have legal or similarly significant effects.
Who receives information
Access is limited to the people and service providers who need information for the relevant purpose. Depending on the interaction, these can include:
- Website hosting, infrastructure and security providers that deliver and protect the site.
- Email, communications and business administration providers that support correspondence and customer records.
- Contractors involved in an agreed project, where access is needed to deliver the work.
- Professional advisers, such as accountants or legal advisers, where necessary for their services.
- Public authorities where disclosure is legally required, or parties involved in a legal claim where disclosure is necessary and lawful.
Providers acting on our behalf are required to handle information under appropriate contractual instructions and protections. Some third-party website services also use connection information for their own purposes under their privacy policies.
We do not sell personal information or provide enquiry contact details to other businesses for their own marketing.
Cookies, browser storage and external services
Website preferences
The website uses the following browser storage to remember choices you make:
themein local storage: Remembers the light or dark appearance you select. It remains in that browser until you change it or clear the site’s stored data. It is not sent to us by the theme switcher.cookie-consentcookie: Remembers that you have dismissed the website’s storage notice, for 60 days. Despite its technical name, it records notice dismissal; it does not give consent to advertising or enable analytics tracking.
You can remove these entries through your browser’s site-data settings. Removing them resets your preferences and may cause the notice to appear again. You can also control cookies through your browser, although blocking storage may stop preferences being remembered.
We do not currently run Google Analytics, advertising pixels or behavioural analytics on this website.
Google services
The site loads fonts from Google Fonts. The contact page also requests Google Maps resources. These requests disclose connection information, including your IP address and browser information, to Google. Google may process information in different countries and, for Maps, use cookies or other identifiers according to its service settings and privacy policy.
See Google’s Privacy Policy for information about its processing and available controls. Requests for these resources can occur when a page loads; dismissing our storage notice does not control those requests.
External links
If you follow a link to another website, its operator handles information under its own privacy notice. Check that notice before providing personal information there.
International processing
Hosting, email and other service providers, including the external services described above, may process information outside the United Kingdom.
Where we arrange a restricted international transfer of personal information, the transfer must be supported by an applicable UK adequacy regulation or an appropriate safeguard, such as the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses, with any additional measures required.
You can email enquiries@poweriton.co.uk to ask about the providers, processing locations and transfer safeguards relevant to your information. Independent external services explain their own international processing in their privacy notices.
How long we keep information
Retention depends on what the information is needed for:
- Enquiries and proposals: For the time needed to respond, complete relevant follow-up and determine whether the enquiry leads to work. We consider whether there is an ongoing discussion, a reasonable need to refer to the correspondence or a legal reason to retain it.
- Customer and project administration: For the duration of the relationship and any further period needed for agreed support, outstanding obligations, dispute resolution or legal claims.
- Invoices and accounting records: For the period required by applicable accounting and tax rules.
- Website and security logs: For the time needed to diagnose faults, investigate security events and operate the site. Relevant records may need to be retained longer for an active incident or legal obligation.
- Privacy requests and complaints: For the time needed to handle the matter and maintain an appropriate record of our response and compliance.
Information that is no longer needed is deleted or anonymised. Copies in backups may remain until the relevant backup is overwritten or expires. Browser preference durations are described in the storage section above.
Protecting information
We use technical and organisational measures appropriate to the information and the risks involved. These include limiting access to people who need it, protecting systems and accounts, and choosing suitable ways to store and share information.
No transmission or storage method is completely secure. If you believe information you have shared with us has been exposed or misused, email us so we can investigate.
Your rights and choices
Under UK data protection law, you can ask us to:
- Give you access to your personal information and explain how it is used.
- Correct inaccurate information or complete information that is missing.
- Delete information where the right to erasure applies.
- Restrict its use in circumstances covered by the law.
- Provide information in a portable format where the right to data portability applies.
Your right to object
You can object to processing based on legitimate interests for reasons relating to your particular situation. You can object to use of your information for direct marketing at any time.
Where processing depends on consent, you can withdraw that consent at any time by emailing us. Withdrawal does not affect the lawfulness of processing that took place before it.
To exercise a right, email enquiries@poweriton.co.uk and describe your request. We may need information to verify your identity or locate the relevant records. We normally respond within one month; where the law permits more time, we will explain the reason and applicable timescale.
Rights depend on the lawful basis and circumstances. If we cannot fulfil all or part of a request, we will explain why and how you can challenge that response.
Complaints
If you are concerned about how we handle information, contact enquiries@poweriton.co.uk so we can investigate and respond.
You also have the right to complain to the UK’s Information Commissioner’s Office (ICO). You do not need our permission to do so. Visit the ICO complaints page or call 0303 123 1113.
Changes to this policy
We review this policy when the website, our services or our handling of personal information changes. The date at the top shows when it was last updated. Where a change materially affects how we use your information, we will provide any further notice required by law.
